Who we're looking for


Toyota's Portland Region is looking for a passionate and highly-motivated Demand and Supply Administrative Assistant.





The primary responsibility of this role is executive-level administrative support, acting with little supervision, anticipating needs while managing the day-to-day workflow and prioritizing various projects for the Portland Regional Office.





Reporting to the Regional Demand and Supply Manager, the person in this role will support the Portland Region's objective to support the goals and work of the field office and dealers.





What you'll be doing



+ Providing support to the Demand and Supply department to ensure that office operations run effectively, including administrative tasks, ad hoc requests and customer service to dealership personnel.


+ Utilizing problem solving skills needed to help manage business priorities, change schedules, prepare monthly reports from different data sources and coordinate travel arrangements.


+ Handling administrative tasks for the Demand and Supply department, including attending meetings and preparing meeting recap notes, event planning, catering for meetings and conference room scheduling.


+ Managing dealership correspondence, including preparing and sending monthly Vehicle Supply letters and emails and archiving files for the department.


+ Completing budget-related activities, such as budget tracking, monitoring and reconciling expenses, conducting and tracking departmental purchasing with company credit card and completing accurate budget reporting.


+ Supporting fellow team members in the office when projects and initiatives require additional resources.

What you bring



+ Extensive experience as administrative assistant


+ Prior experience supporting an executive-level position


+ Associates degree or higher or equivalent professional work experience


+ Background in handling highly confidential records and correspondence


+ Excellent organizational skills


+ Strong ability to multi-task on a variety of projects


+ Strong knowledge of supporting departments, organization, operations policies and procedures


+ Proficiency in MS Outlook, Excel, Word, PowerPoint






Added bonus if you have



+ Bachelor's degree or higher


+ Automotive experience



This position is a Flex 40 only position and is eligible for TMS Limited Relocation Benefits.
